Guitar Lesson Terms & Conditions – Norland Place School

1. Lesson Allocation Across the Year

Each pupil receives 30 guitar lessons per academic year, delivered across the three school terms.

The total number of lessons per term may vary depending on the school calendar; for example, there are usually more lessons in the Autumn and Spring terms, and fewer in the Summer term due to exams, trips, and other events.

The overall schedule of lessons throughout the year is arranged at my discretion to best fit around the school timetable and events.

2. Lesson Day

There is one Guitar Day each week, during which all guitar lessons take place. Occasionally, the Guitar Day may be adjusted to another day if required by the school timetable or in order to make up for a previously cancelled session.

3. Lesson Scheduling and Coordination

Lessons are scheduled in coordination with class teachers. A rotational guitar lesson timetable will be emailed each week, showing the planned schedule for that week’s lessons. This schedule is subject to change based on class teachers’ requests on the day.

All staff at Norland Place School collaborate to ensure minimal disruption to pupils’ academic lessons while they gain the benefit of individual instrumental tuition.

4. Missed Lessons

If a pupil is absent from school on the Guitar Day, the lesson is counted as given and cannot be rescheduled or refunded. If I am absent due to illness or another reason, I will arrange an alternative Guitar Day to ensure all 30 lessons are delivered over the course of the academic year.

5. Lesson Format

Lessons are normally individual, though pupils may occasionally take part in joint sessions for rehearsal or performance preparation.

6. Behaviour and Conduct

Pupils are expected to participate respectfully and positively during lessons. Good behaviour is essential to ensure a productive and enjoyable learning environment. Repeated behavioural issues will be referred to class teachers or school leadership if necessary.

7. Instruments

Pupils should bring their own guitar to school on their lesson day. Guitars should be stored in the classroom or another designated area as directed by their class teacher.

8. Payments

Lessons are billed in blocks of 10, three times per year.

Payments are made securely through Stripe on a recurring subscription basis.

The subscription renews automatically every four months from the date of the first payment, with a reminder email sent in advance.

All lessons must be paid for in advance of each term.

9. Cancellation and Notice

Parents wishing to discontinue lessons must provide at least half a term’s notice. If notice is not given, parents remain liable for half a term of lessons beyond the date of notice. These lessons will still be delivered unless the parent requests otherwise.

10. Media and Performance Consent

Occasionally, pupils may be filmed, photographed, or recorded during school concerts, rehearsals, or ensemble activities. Any such media will only be used in accordance with Norland Place School’s media and safeguarding policies and subject to the school’s existing parental consent agreements.

11. Safeguarding

All teaching takes place in line with Norland Place School’s safeguarding procedures. I hold a valid Enhanced DBS check and adhere to the professional and safeguarding standards required by the school.

12. Data Protection and Privacy

Personal data provided by parents (including pupil name, contact details, and payment information) is collected and stored solely for lesson administration.

Payment data is processed and securely stored by Stripe, in accordance with their privacy and data protection policies.

Lesson correspondence is managed through my iCloud email account, which is protected by multi-factor authentication. No data is shared with third parties except where necessary for lesson coordination with Norland Place School.

13. Communication and Feedback

Parents are welcome to contact me at doug@dougcartwright.com with any queries regarding lessons, scheduling, or billing.

I may also contact parents to provide updates on progress or to offer guidance on home practice.

14. Continuation of Lessons

Lessons are assumed to continue into the next academic year unless notice to discontinue is provided before the end of the Summer Term.

15. Liability

While every effort is made to ensure a safe and positive learning environment, I cannot accept responsibility for loss or damage to instruments, personal belongings, or for any injury sustained before, during, or after lessons.

16. Teaching Materials and Copyright

Any lesson materials or arrangements I provide are for the pupil’s personal study use only and may not be copied, shared, or distributed without permission.
